Gutter and exterior businesses run on a longer pipeline than most people assume: lead, online quote, in-person estimate, revised quote, scheduling, installation, collection, review. Most CRMs give you three stages and expect you to make do.

The stages that actually matter

Building online quote, quote sent and awaiting follow-up, in-person estimate scheduled, negotiating, installation scheduled, collecting payment, collecting the review. Naming each stage explicitly — instead of lumping them into a generic "in progress" — is what makes a pipeline useful instead of just decorative.

Material and measurement tracking

Linear footage, gutter style, color, downspout count — these need to live on the job record, not in a separate estimating spreadsheet that someone has to cross-reference. When material specs and the CRM are the same source of truth, quotes get faster and less error-prone.

The follow-up problem specifically

Exterior work has long sales cycles — many leads take weeks to decide. A system that automatically resurfaces stale leads ("due soon," "overdue") instead of relying on someone remembering to check back is often worth more than any other single feature.
